The ONEtobeONE TMS has robust capabilities for communicating to your drivers, and collecting information from your drivers.
Instructions are used to show messages on your drivers [onboard computer], and Questions are used to collect information about activities from your drivers.
Questions and instructions are triggered when a driver communicates an event, or reaches a specific stage of an activity on their [onboard computer]
¶ Creating instructions and questions on ONEtobeONE
There are three different categories of triggers for questions and instructions
- [Global]. which are managed in [System -> Question path]. These can be used for both instructions and questions
- [Route specific], instructions shown on a specific route
- [Transport order specific], Instructions added on a [Transport order]
¶ Global triggers and the Question path
Globally triggered questions and instructions created here are shown on every route and transport order.
Global triggers are managed in [System -> Question path]. This menu is divided into [Planned activities](submenu link), [Unplanned activities], and [Instructions].

- Click Create on the blue action bar to create a new one, or eye left of a question to edit an existing one
- Choose when this series of questions is triggered
- Activity type: The exact [activity] type used as a trigger
- Activity step: Stage of the activity used as the trigger
- Click Save on the blue action bar
After clicking save a new pane opens on the right side of the window. Click [+] Create new question to add questions that are shown on the onboard computer
- Location: Selecting a partner here makes this question location specific.
- Question: Select the question prompted to the driver. This is a standard list
- Answers: Some questions allow you to select specific multiple choice answers
- Mandatory: Leaving this tick-box selected means that the driver has to answer this question before continuing
- Previous question: Used to create a chain of questions
- Previous answer: Used to trigger the next question only for a specific previous answer
A loading location might require a tank to be cleaned with a specific procedure. To ensure that the driver has done this, and is carrying the correct documents you can create a question with the trigger
- Activity type: Loading
- Activity step: Sign in
Create a question 1 with the following details
- Location: [Partner] with the cleaning requirement
- Question: Have you cleaned?
- Answer: YES/NO
Create question 2 with the following details
- Locations: not required, the trigger is carried from the previous answer
- Question: Upload cleaning certificate
- Previous question: Have you cleaned?
- Previous answer: Yes
Configured like this the driver is prompted to upload a picture of the ECD only at this specific location, if they have cleaned.
To account for an exceptional loading you can create a third question with the following details
- Locations: not required, the trigger is carried from the previous answer
- Question: Add declaration for uncleaned loading
- Previous question: Have you cleaned?
- Previous answer: No
This tab is used to manage Questions triggered by unplanned activities like traffic jams and breaks.
- Click Create on the blue action bar to create a new one, or eye left of a question to edit an existing one
- Choose which activity triggers this question
- Click Save on the blue action bar

In Unplanned activities you can use the previous question / answer logic to record details about fueling, with the activity type: Fuel
Create a question 1 with the following details
- Question: Which fuel is tanked
- Answer: Petrol/diesel
Create question 2 with the following details
2. Question: How many liters were tanked
3. Previous question: Which fuel is tanked?
Instructions are one-way messages to your drivers that do not require them to input information. Instructions can include pictures, like maps.
- Activity type: You can select [Planned activities] here
- Activity step: Exact stage that triggers this instruction
- Validity: Can be used to set a time period when this instruction is shown
- Example: Loading location has temporary entry due to construction
- Location specific: Can be used to trigger this instruction only at a partner location
- File: Used to upload a picture to be shown with the instruction
- Language: Language of the text below
- Instruction: Text shown to the driver
- [+] Add: Add more languages
First language saved is the default. If you do not save a language in all of the available languages the default language version of the text is used for the missing ones
Instructions added on a route, will be shown on one specific route in addition to global instructions and questions. Routes are managed in System->Routes.
Click Create on the instructions tab of a route
- Activity type: You can select [Planned activities] here
- Activity step: Exact stage that triggers this instruction
- Validity: Can be used to set a time period when this instruction is shown
- Example: Loading location has temporary entry due to construction
- File: Used to upload a picture to be shown with the instruction
- Language: Language of the text below
- Instruction: Text shown to the driver
- [+] Add: Add more languages

Instructions saved on transport orders will be show only when this specific order is executed, in addition to global and route specific instructions and questions.
You can add instructions when [creating or editing transport orders].
